President
Oversees the board and boosters in supporting the orchestra teacher's plans by:
- Acting as a liaison between the orchestra teacher and Orchestra Boosters
- Scheduling, setting the agenda and running board and booster meetings.
- Seeking parent input for decision-making.
- Communicating with parents
- Seeking out volunteers
- Helping the board to set general fundraising plans and goals
- Following up on board plans
- Keeping a long-term vision in mind for the orchestra program
- Ensuring that board nominations and elections are held
- Making sure the Boosters group operates according to its by-law
Treasurer
The Treasurer is responsible for maintaining the Roosevelt Orchestra Boosters Bank Account and financial records. The bank account is at Wells Fargo Bank and the books are currently kept using the Quicken computer program. Duties include:
- Collecting, counting and depositing in the bank the checks and cash that are collected for the various fundraising activities, orchestra travel and retreats, etc.
- Writing checks to pay for orchestra business, such as to Musical Coaches and in support of fundraising, instrument and travel expenses.
- Entering all checks and deposits into the Quicken program. Balancing the checkbook on a monthly basis.
- Preparing financial reports as needed, such as bank balances and fundraising reports
- Preparing the annual state tax report.
Communications Chair
- Set up an email account just for the orchestra (this year we will have a group mailing list).
- Get a final class list from orchestra director or registar. Collect contact information sheets (sent home over summer) turned into orchestra director.
- Distribute contact information sheets to band members who also play in orchestra. (Orchestra director has final say on this).
- Put all the contact email information into group email lists, preferably by orchestra.
- Set up (or revise last year's) Excel spreadsheet to list all the contact information for each student. This should be distributed to all students/parents when completed.
- Sends pertinent information to orchestra families via email or postal mail as needed.
- Attend each board and parent meeting. Take meeting notes at each meeting and distribute to the parties involved in the meetings (via email). A laptop makes this process much easier.
- Coordinate with other board members and chairs regarding publicity for events in the Rider Record, on the school wide email, an orchestra newsletter, and publicity for such events as Peter and the Wolf.
